BOOKING
For all bookings, including those made by telephone or Internet, the Lead Guest agrees to complete and sign a paper copy of the Holiday Letting Agreement on the day of check-in. This will match the copy sent via email following the booking through the www.zionchapel.co.uk booking system.
The Lead Guest must be over 18 years of age and authorised to make the booking and to accept these Booking Terms & Conditions by all persons named in the completed online Booking Form. The Lead Guest will be responsible for making all payments due.
On receipt of emails from us you must advise us if anything appears to be incorrect. The owner regrets that we cannot accept liability if we are not notified of any inaccuracies within 4 days (ideally before) of our dispatching emails to you. If the Lead Guest has any questions about the Holiday Letting Agreement or Zion Chapel Lettings’ General Booking Terms & Conditions he/she must put these in writing via email to bookingquery@zionchapel.co.uk We reserve the right to refuse a booking without giving any reason, however Zion Chapel Lettings will make every reasonable endeavor to discuss any issues before ever reaching a decision like this.
RENTAL & DEPOSIT PAYMENT
In order to confirm your booking, an amount equal to 100% of the total rental fee will be taken as a deposit on your credit card (If multiple weeks are booked that join booking dates together, the maximum amount is deemed to be 1 week or 1 weekend’s full letting cost taken as a deposit).
All payments of the rental fee will be taken by credit card. This process will be done by Zion Chapel Lettings Management and may result in a call to you via telephone to make any confirmations we feel are necessary. If payment cannot be taken in full via credit card and we cannot successfully get hold of you, then we reserve the right to treat the booking as cancelled. In this case, cancellation charges as set out in the clause “Cancellation by you” will be applicable. Note: No reminders of payment dates will be sent.
All Bookings received must be paid in full before the booking arrival date.
Although we would not anticipate any costing errors on the confirmation invoice, should there be an obviously incorrect price shown, then we will issue a new invoice and will not be bound by the price shown on the incorrect invoice.
All deposits will be refunded in full following a check throughout the property that there is no damage. All items agreed within the inventory, during the check-in with the Zion Chapel Manager, will be confirmed they are all in place and equally not damaged. Any damage, or items missing, in the inventory will be charged in full from the Lead Guest's deposit taken via credit card. Zion Chapel Lettings will aim to be fair in the setting of amounts to be deducted from the deposit. It must be noted that any assessment of damage or missing items on the inventory may take days if not weeks before a total figure is calculated and communicated to the Lead Guest. This figure will be deducted from the deposit provided and the amount (if any) refunded back to the Lead Guest’s card. If the damage is considerable, further amounts will be requested of the Lead Guest will proof of receipts from the suppliers to Zion Chapel Lettings.
Following a check with no damage and all inventory items present, deposit funds will be refunded to the credit card that it was originally taken from within 2 days. It must be noted that it may take longer to appear within your credit card account due to the normal delays associated within the credit card companies.
YOUR CONTRACT
A binding contract comes into existence when your booking is confirmed by the www.zionchapel.co.uk booking system or via telephone and in all other cases when we dispatch our confirmation email and invoice. This contract is governed by English Law. It is mutually understood and agreed that any dispute, claim or any other matter that arises out of this contract or your holiday will be dealt with by the courts of England and Wales.
CANCELLATIONS – BY YOU (LEAD GUEST)
You may cancel your booking at any time. Cancellation must be communicated to us in writing to bookings@zionchapel.co.uk and takes effect from the date we have confirmed our acceptance of this via email to you. In the event of cancellation then the following charges become applicable:

Less than 2 weeks prior to arrival date: 100%
Between 2-4 weeks prior to arrival date: 90%
Between 4-6 weeks prior to arrival date: 75%
CANCELLATIONS – BY US
It is extremely unlikely that we will have to make any changes to your property rental. However, occasionally we may have to make changes and reserve the right to do so at any time. Most of these changes would be minor and we will advise you of them as soon as they may be applicable. If we are forced to cancel the property rental because of force majeur or for any reason that makes the property unfit for rental, we will get in touch immediately with you and will cancel the booking and accept a full refund of all monies paid to us. Please note that we are not liable for any consequential loss or incidental expenditure resulting from the cancellation of your holiday.
INSURANCE
It is the responsibility of the Guests to ensure that their personal possessions are insured. We cannot accept any liability for theft of, loss of or damage to personal possessions.
We also recommend that guests arrange adequate travel insurance for cover in case of cancellation (see CANCELLATIONS).
COMPLAINTS
Complaints must be reported immediately to the owners of the property or to the Manager via email on complaints@zionchapel.co.uk or phone on 0844 5883565 thereby giving them the opportunity to rectify the problem during your stay. If the problem cannot be rectified during your stay, you must write to us within 28 days of departure giving full details of your complaint. We cannot accept complaints if you have not followed the course of action laid down in this clause.
OCCUPATION OF THE PROPERTY
Only the named guests are permitted to use or stay in the property. If you need additional sleeping facilities for a baby or child, you must let us know. You and your party must not exceed at any time the numbers of sleeping places, I.e. 2 + 1 (if a cot or child’s mattress is requested and provided). The owners or our Management have a right at all times to refuse access to the property for people who are not members of the party.
LOCATION MAP & DIRECTIONS + KEY COLLECTION
A Location Map & Directions with Key Collection instructions will be sent to the booker on receipt of deposit payment. The location in Poynings is shown on the www.zionchapel.co.uk website.
ARRIVAL / CHECK-IN TIME
This is from 18.00 Hrs / 6.00pm on the arrival day booked which is always a Friday. We will try to be flexible on the check-in times but a strict rota of cleaning, laundry and Management checks following the last check-out point normally prevents us from doing so. Please check with us within a few days of your arrival date and when possible we will be happy to oblige.
DEPARTURE / CHECK OUT TIME
This is by 18.00 Hrs / 6.00pm on the Sunday of that weekend, if a weekend stay has been booked, or 12:00pm on the following Friday, if a week’s stay has been booked. Note that due to a strict rota of cleaning, management checks and regular bookings we are afraid check-in / check-out dates cannot be altered. It is possible to book more than a week. For example 2 weeks could be booked or a weekend added to the end of a week’s stay. This will require a special request to the management team by calling on 0844-588 3565.
